Meal Payment Policy
POLICY # 537
I. PURPOSE
The purpose of this policy is to establish consistent meal account procedures throughout the district in the provision of meals to students and staff.
II. GENERAL STATEMENT OF POLICY
A. It is the policy of ISD #2165 to offer breakfast and provide lunch at school. The Food Service Department strives to produce quality meals in an efficient and fiscally responsible manner.
B. ISD #2165 (Hinckley-Finlayson Public Schools) recognizes the parent/guardian’s responsibility to provide breakfast and lunch for their children. Proper nutritional intake is essential for adequate learning to occur.
C. The food service department utilizes a computerized Point of Sale system requiring pre-payments. Students may purchase meals when funds have been deposited into their account. Cash payments are always accepted at the high school Point of Sale. The Elementary office accepts cash payments.
D. Account balances must be positive. The lunch account works similar to a checking account. When a meal or item is purchased, the amount is deducted from the student’s lunch account. School lunch account information may be accessed online through ParentVue.
E. All families are encouraged to apply for free/reduced meals anytime during the school year. Applications are provided to all families in the district prior to the school year. In addition, applications are available at the district office, each building and online at the District website: www.hf.k12.mn.us
F. School Food Service procedures and guidelines will provide supplemental procedural information to policy 537.
III.PROCEDURES FOR NOTIFYING FAMILY OF ACCOUNT STATUS
Student balances are available on the ParentVue. The ParentVue may be accessed through the district’s website. Statements may be requested from the School Lunch Clerk, Julie Nelson, via email or telephone anytime.
A. The Food Service Program is a pre-payment program. Families are expected to have a positive balance in the food service account at the beginning of the year and during the course of the school year.
B. The parent/guardian will be notified when the student account reaches a balance of $0.00 or less.
C. All students in grades K-12 will be notified in the lunch line each day when their account is between $10.00 and $0.00.
D. Ala carte items may only be purchased with cash.
E. Families are encouraged to check their balances regularly using ParentVue. Parents can sign up for ParentVue through any school office.
Low balances will be reported to families periodically. Food service staff will contact the family for balances below $0.00. Individual lunch account privileges within families with negative account balances of $25.00 or more may, at the discretion of food service leadership and school administration, be deactivated or suspended to prevent further unpaid purchases from occurring.
F. Families who have been notified of negative balances and who have not made payment arrangements or paid in full by the end of the school year may be turned over to collection agencies designated by the District.
G. Assistance from county Social Services may be requested by the school social worker for possible neglect when above procedures are unsuccessful.
IV. STAFF MEALS
A. Staff meals may be purchased at a price determined by the Food Service Department. There shall be no complimentary staff meals. Staff are expected to maintain a positive balance, they will be notified of balance status on the first of each month.
V. PROCEDURES FOR COMMUNICATION
A. Students will be notified in the lunch line of accounts running low at the discretion of the lunch attendant.
B. The Lunch Clerk will notify parents by text/email/call/note when account reaches 0.00.
C. If communication or payment is not received within two days, a second attempt will be made to notify parents.
D. If no communication is received from a parent, student will receive a complimentary lunch without charge to their account.
E. Further delay in payment may result in account closure.
